This role is responsible for supporting, executing, and coordinating a range of events and projects, including our annual Conference & Expo and Member Recognition Gala. This role involves speaker management, contract administration, and oversight of member recognition programs. This role reports to the Conference and Events Manager.</p><p><b>KEY RESPONSIBILITIES:</b></p><p><b>Conference & Event Coordination:</b></p><ul><li>Coordinate the aspects of conference speaker coordination, including logistics, communications, and quality review of presentation content, pre, during and post-event.</li><li>Lead onsite breakout program logistics (room, speaker, staff, and volunteer coordination).</li><li>Support meetings and event-related activities, including evaluation and financial reporting.</li><li>Research, secure and manage select suppliers.</li><li>Website and database management using PheedLoop and NetForum.</li><li>Oversee conference mobile app and on-demand content updates.</li><li>Support the Conference and Events Manager with exhibitors, sponsorships, registration, and attendee management.</li></ul><p><b>Member Recognition Program: </b></p><ul><li>Administer and promote the Member Recognition program, ensuring clear communication with applicants and committee members.</li><li>Review HR Spotlight nominations for eligibility and completeness.</li><li>Organize and chair Selection Committee meetings, facilitating the evaluation process.</li><li>Research, secure and manage select suppliers. </li><li>Coordinate new CPHR designate celebration activities, including virtual and onsite event support. </li></ul><p><b>Cross-Departmental Collaboration:</b></p><ul><li>Partner with marketing, communications, operations, and IT to develop promotional materials and campaigns.</li><li>Collaborate with Member Services and other teams to identify opportunities for resource sharing and cross-promotion.</li><li>Work with the Sponsorship & Corporate Partnerships Manager, Registrar, and PD team as it relates to the Breakout Speakers Program, HR Spotlight, and new CPHR designates. </li></ul><p><b>Member Engagement & Advocacy:</b></p><ul><li>Monitor member feedback and industry trends to inform programming.</li><li>Promote the HR profession and the value of professional designation.</li><li>Other duties consistent with the role and organizational needs.</li></ul><p><b>QUALIFICATIONS & PREFERRED SKILLS: </b></p><ul><li>Minimum 2 years of experience in event planning.</li><li>Proficiency in Microsoft Office (Outlook used daily). </li><li>Familiarity with PheedLoop, NetForum, WordPress, HTML are an asset. </li><li>Experience working with speakers, presenters, vendors, and other stakeholders.</li><li>Strong communication, relationship-building and customer service skills.</li><li>Excellent organizational and time management abilities.</li><li>Familiarity with budgeting and reporting.</li><li>Experience facilitating meetings and team coordination. </li></ul><p><b>WHAT WE OFFER:</b></p><ul><li>Annual salary range $58,000 - $62,000 (based on experience and qualifications).
