<p>Job Title:<br>Facilities & Administration Executive</p><p>Location:<br>Bangalore</p><p>Department:<br>Facilities & Administration</p><p>Reporting to:<br>Head of Facilities</p><p>Job Summary<br>We are hiring a Facilities & Administration Executive to manage the operational readiness, security, and administration of our newly established Rail Infra Testing Facility in Yelahanka, Bangalore. This role involves overseeing daily facility operations, vendor and asset management, and providing comprehensive administrative support to the Engineering Design & Research Centre (EDRC) team. The ideal candidate will play a key role in ensuring facility efficiency, audit compliance, and smooth coordination for final setup and inauguration.</p><p>Key Responsibilities<br>Facilities Management & Site Security:<br>Oversee day-to-day operations and infrastructure maintenance (HVAC, electrical, plumbing, elevators) in the G+3 facility.</p><p>Manage site vendors (security, housekeeping, maintenance, logistics, F&B) and ensure adherence to SLAs and quality standards.</p><p>Enforce site security protocols including access control and perimeter security.</p><p>Coordinate the final facility setup, including furniture installation, equipment delivery, and logistics management.</p><p>Asset Management & RDSO Compliance<br>Maintain an accurate, up-to-date Asset Register for the facility.</p><p>Physically tag, track, and manage all company assets, especially technical instruments used in the RDSO-compliant testing lab.</p><p>Handle incoming material inspections, documentation, and secure storage.</p><p>Prepare the site for internal/external asset audits with complete documentation.</p><p>Administration & Front Office<br>Manage front desk operations, including greeting visitors and delegations (e.g., RDSO inspections).</p><p>Handle all communication lines – calls, emails, couriers, and official correspondence.</p><p>Provide administrative support to EDRC staff – travel bookings, accommodation, office supply management.</p><p>Manage and reconcile petty cash for local operational expenses.</p><p>Experience<br>Desired Candidate Profile:<br>3+ years in a multi-functional role covering administration, facilities, and front office operations, preferably in an industrial/factory setup.</p><p>Qualification<br>Bachelor's degree in any discipline.</p><p>Key Competencies<br>Facilities Operations & Vendor Management</p><p>Security Protocol Implementation & Site Readiness</p><p>Asset Tracking & Compliance Documentation (RDSO Focus)</p><p>Front Office & Administrative Support</p><p>MS Office Proficiency (Excel is critical for inventory management)</p><p>Strong interpersonal and verbal/written communication skills</p><p>Independent decision-making, problem-solving, and vendor handling</p><p>High integrity and accountability for asset management</p>
