Job Description
The Project Manager plays a key role in ensuring the successful delivery of Heartwood Renovations’ projects from planning through to completion. This role is responsible for coordinating all aspects of residential renovation projects, including scheduling, budgeting, trade management, and client communication. Acting as the primary point of contact, the Project Manager ensures that projects are completed on time, within scope, and to the highest quality standards.
This position requires strong leadership, organizational, and problem-solving skills, as well as the ability to manage multiple projects simultaneously in a fast-paced environment. The Project Manager works closely with our production team, subtrades, and clients to maintain clear communication, resolve challenges, and ensure a smooth and positive project experience for everyone involved.
Duties & Responsibilities
Project Planning
- Drives project forward on the production side, sees jobs through from design phase to completion;
- Develops and maintains detailed project plans, including schedules, budgets and resource requirements;
- Defines project scope, objectives and deliverables in collaboration with stakeholders; and
- Establishes project milestones and tracks projects against project goals.
Project Execution
- Oversees day-to-day project operations and ensures adherence to project plans;
- Monitors project progress, identifies potential risks and issues, and implements corrective action;
- Ensures projects are completed on time, within budget and upholds Heartwood’s quality standards; and
- Acts as the primary point of accountability for daily site coordination, ensuring subcontractors, trades, and carpenters are aligned on scope and schedule.
Team Coordination
- Leads and coordinates project teams, including internal teams and subcontractors;
- Delegates duties and responsibilities across teams to ensure efficient project execution, monitoring progress and timelines;
- Facilitates team meetings and maintains clear communication amongst all project members; and
- Assumes responsibility for progress documentation, including daily logs and site reports, ensuring accurate and timely records are maintained.
Client Communication
- Serves as the primary point of contact for clients, addressing inquiries and resolving issues promptly;
- Provides regular updates to clients on project status, including progress reports and communicates any changes to scope or schedule; and
- Builds and maintains strong client working relationships to ensure high levels of satisfaction.
Building Materials, Equipment and Resource Management
- Allocates and manages project resources, including equipment, materials and crews;
- Ensures availability of materials and resources, proactively addresses any shortages, delays or conflicts, sources alterative materials as required to ensure project deadlines are met;
- Tracks and manages project budgets, including procurement and expense control; and
- Oversees site-level material readiness in coordination with carpenters, ensuring deliveries are accurate and on schedule.
Risk Management
- Identifies potential risks and develops viable strategies to mitigate them;
- Monitors risk factors throughout the project lifecycle and addresses issues as they arise;
- Conducts risk assessments and adjusts project plans as necessary, ensuring proper flow of communication as needed to keep project stakeholders informed; and
- Responsible for site safety meetings, hazard identification, and enforcing safety compliance across active projects.
Quality Control
- Implements quality control measures and procedures to ensure project deliverables meet Heartwood’s standards;
- Conducts regular on-site inspections to assess trade and carpenter work, ensuring compliance with quality standards and project specifications;
- Manages corrective actions directly with trades and carpenters where deficiencies are identified;
- Conducts regular site inspections and walk throughs throughout the project to maintain high-quality outcomes; and
- Ensures compliance with all relevant building codes, regulations and industry standards.
Documentation
- Maintains comprehensive project documentation, including progress reports, change orders, and financials;
- Prepares and submits detailed project reports and final deliverables; and
- Ensures all documentation is accurate and up-to-date.
Delivery
- Oversees final project delivery, including conducing walkthroughs with the Founding Partner, obtaining client approvals;
- Manages the completion of any outstanding tasks or issues;
- Gathers client feedback and ensures all contractual obligations are met; and
- Accountable for final close-out inspections previously managed by the Site Supervisor.
